Privacy Policy for QuickBooks Integration

This Privacy Policy describes how Trifecta Living Co. uses information accessed through its private QuickBooks Online integration.

1. Purpose of the Integration

This application is a private/internal bookkeeping and reporting integration. It connects to QuickBooks Online through Intuit OAuth in order to support authorized bookkeeping, accounting review, reporting, reconciliation, and administrative workflows.

This application is not sold or distributed as a commercial software product.

2. Information We May Access

When an authorized user connects a QuickBooks Online company, the application may access QuickBooks data permitted by the user through Intuit OAuth. This may include:

  • Company profile information
  • Chart of accounts
  • Customers
  • Vendors
  • Items, products, and services
  • Invoices
  • Bills
  • Payments
  • Purchases and expenses
  • Deposits and transfers
  • Account balances
  • Financial reports, such as Profit and Loss, Balance Sheet, Cash Flow, A/R Aging, and A/P Aging

The exact data accessed depends on the permissions granted by the authorized QuickBooks Online user and the workflows being performed.

3. How We Use QuickBooks Data

QuickBooks data is used only for internal bookkeeping and business administration purposes, including:

  • Reviewing financial records
  • Generating bookkeeping and financial reports
  • Reconciling transactions
  • Identifying missing, duplicate, or unusual records
  • Preparing draft bookkeeping recommendations
  • Supporting accounting review and business decision-making

The application does not sell QuickBooks data or use it for advertising.

4. Data Storage

QuickBooks OAuth credentials and related configuration are stored securely in a local environment file or approved credential storage controlled by Trifecta Living Co.

QuickBooks data may be temporarily processed for bookkeeping, reporting, reconciliation, or analysis workflows. Any retained outputs, summaries, or reports are used only for internal business purposes.

5. Data Sharing

We do not sell, rent, or disclose QuickBooks data to third parties for marketing or advertising.

QuickBooks data may be shared only with authorized individuals or service providers who assist with bookkeeping, accounting, tax preparation, compliance, or business administration, and only as needed for those purposes.

6. Security

We use reasonable administrative, technical, and organizational safeguards to protect QuickBooks data and OAuth credentials from unauthorized access, disclosure, alteration, or destruction.

Access to the integration is limited to authorized users.

7. User Control and Revocation

Authorized users may revoke this application’s access to QuickBooks Online at any time through their Intuit or QuickBooks account settings.

Once access is revoked, the application will no longer be able to retrieve new QuickBooks Online data unless authorization is granted again.

8. Data Retention

QuickBooks data, reports, summaries, and related bookkeeping outputs may be retained as needed for internal business, accounting, tax, audit, legal, or compliance purposes.

Data that is no longer needed may be deleted according to internal recordkeeping practices.

9. Children’s Privacy

This application is intended for business bookkeeping and administrative use. It is not directed to children and does not knowingly collect information from children.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Updates will be posted on this page with a revised effective date.
